IPC Media approached Ministry of Sound in March 2006 looking for a venue to host its annual Marketing Awards ceremony. The event was to begin with a drinks reception, followed by a seated 3 course banquet and awards ceremony, then an after party.

Issue

It is difficult to keep annual events fresh and distinctive year on year, so IPC Media was looking for a venue which was new to them, and like nowhere they had seen.
The demographic of the guests were between 25 and 35, so they wanted a venue which would get a young audience excited and interested. The venue they chose had to be able to accommodate just over 200 banquet style ceremony and have a separate room for the after party, as well as private changing facilities for the guest speakers and entertainers. They needed a venue which was naturally memorable without having to spend too much money dressing it

Ministry of Sound, being a nightclub broken into 5 rooms, does not have kitchens or a natural banquet room. It is designed as a 1500 capacity dance club, and needed to be softened for corporate guests and made a comfortable dining environment.

Solution

IPC went with a “Bling and Glamour” theme, which complemented Ministry of Sound’s state-of-the-art sound and lighting technology and recent refurbishment.
Several lighting phases were set: 1) the reception, warm colours but mellow and welcoming, 2) as guests took seats in The Box we had a twilight glitter ball effect which sparkled off the themed tables 3) Ceremony wash, 4) Hullabaloo! 5) The after party.
Our main dance floor was used as the banquet room, large floor-to-ceiling speaker stacks which were draped in black cloth, and covered with diamonds and oversized bling jewellery to make them more of a feature.

As a nightclub, Ministry of sound does not have kitchens in-house, so a kitchen area was set up in our smallest dancefloor – The Baby Box, and food service done from there, and the entrance draped to conceal it from the evenings guests.

A DVD was created to play on the 21 plasma screens around the venue, and the Marketing Awards logo was projected 40ft in the air on to the next door building to guide guests to the location of the venue.
Following the ceremony, guests returned to the Main Bar where a Ministry of Sound DJ played some of the latest and popular music.
In the Main Bar, there is a 40ft concrete bar, which we utilised as an unusual performance area throughout the evening, having street dancers and performing artists on there performing through out the evening.

Benefits & Result

By using Ministry of Sound IPC had a venue which excited guests about attending, resulting in 207 of the 210 invited guests attending on the day.
They were also able to have 2 rooms with different moods, a formal banquet room with a glitzy bling edge, and a vibrant party room complete with street dancers utilising the bar surface and the aerial walkway running round the room.
The event went smoothly and without a hitch, and there was no negative feedback whatsoever from IPC or their guests.
